Size, finish and logo scale: how to decide

A step and repeat isn’t judged up close: it’s judged in a flash photo taken from two metres away and viewed on a mobile. That changes three decisions. The first is the finish: gloss PVC reflects the flash and blows out the logo right in the middle of the image, so we always work in matt, whether that’s PVC banner or polyester fabric. The second is the logo size: repeated in a tiled pattern at 15-25 cm and slightly angled, it still reads clearly even if people’s shoulders cover part of the backdrop; one oversized logo in the centre disappears behind the first person posing. The third is the usable height: below 2,3 m the backdrop ends before people’s heads, and the wall shows in the photo.

The most common size for corporate events is 3 × 2,3 m, enough for four or five people standing in a row. With 2 × 2,5 m you can cover portraits of two or three people, and from 4 m wide upwards you move into group photos and award presentations. If the hotel or venue space requires a different proportion, we make it to size. It’s the same approach we use for the rest of our event merchandise: the brand is recognisable in the photo without covering the people.

What we need from you for the quote

The step and repeat is not in the online catalogue: it’s made to order. With these details, we’ll send your quote and mock-up within 24 working hours.

  • Size and space: the width and height of the backdrop, or the available space in the room, and how many people you want to fit in the photo.
  • Support and material: tubular frame with banner, tension fabric, cardboard or pop-up. If you’re unsure, tell us how it will be used and we’ll recommend one.
  • Single- or double-sided print: single-sided if the backdrop goes against a wall; double-sided if it stands free in the middle of the space and will also be seen from behind.
  • Artwork: your logo as a vector file (SVG, AI or PDF) or the full artwork if you already have it. If you only have the logo as PNG or JPG, we’ll check it for you.
  • Event date and delivery address: your office or the venue where it will be set up, in any EU country. If there are several venues, tell us how many and where.
  • Quantity: how many pieces you need and in what sizes; in large format there is no catalogue minimum quantity and we quote item by item.

    Within 24 working hours you receive the quote and mock-up: your logo in a tiled pattern, or your artwork, placed on the real size, with the usable photo area marked. The mock-up is free, and you can ask for changes before you decide.

    Approval and payment

    Once you’re happy with the mock-up, you approve it and pay. Nothing is printed before that point.

    Production

    Latex or UV print on matt banner, sublimation on fabric or direct print on cardboard, depending on the type. Lead time depends on the format: for banner and cardboard, two or three weeks from approval is typical, while tension fabric, pop-up or inflatable options need more time. Tell us the event date from the start.

    Delivery

    Tracked delivery to your office or the event venue, to one address or several, across the EU. The step and repeat arrives packed and ready to assemble, with instructions.

Where it fits, how it’s reused and what to pair it with

The three clearest uses are the entrance to a convention or annual meeting, a trade fair stand and a company party. If you run several events a year, think of the frame as something you keep: the tension fabric profile and the tubular frame are stored, and for the next campaign you only print the new fabric or banner. And avoid setting it up in front of a window: with backlighting, faces come out dark and the backdrop loses colour. When there isn’t room for a full backdrop, a custom roll-up banner measuring 150 × 200 cm works as a small step and repeat for portraits of one or two people.

The step and repeat doesn’t appear alone. What people wear is in the same photo: custom lanyards for badges and the reception team’s custom polo shirts or T-shirts, ideally in the same colour as the artwork. At the entrance, custom flags or a feather flag help show from the street where the event is. Everything can go on the same quote and start from the same brand file.

What size step and repeat do I need for a group photo?

For four or five people standing in a row, 3 × 2,3 m is the usual size. For portraits of two or three people, 2 × 2,5 m is enough, and for group photos or award presentations it’s best to go for 4 m wide or more. The usable height should not be less than 2,3 m, so the wall doesn’t show above people’s heads.

What’s better for a step and repeat, banner or fabric?

Matt PVC banner on a tubular frame is robust and lets you change only the artwork from one event to the next. Tension fabric weighs less, doesn’t crease or reflect light, and two people can assemble it without tools, so it usually wins when the step and repeat travels to several venues. For a one-day event, honeycomb cardboard is the light, recyclable option.

Why does a step and repeat need to be matt?

Because most photos are taken with flash or under strong venue lighting, and a glossy surface reflects that light and leaves a white patch right over the logo. Matt banner and polyester fabric don’t reflect, so the logo reads clearly in the photo.

How should the logo be placed on a step and repeat?

The usual layout is a tiled pattern with the logo repeated at 15-25 cm, sometimes alternating with a sponsor logo or the event name. That way, even if people cover part of the backdrop, any crop of the photo still shows one or two complete logos. If you prefer a lifestyle image with the logo in one corner, place it at head height, never at the bottom.

Can the step and repeat frame be reused for another event?

Yes, and that’s the usual option when you run several events a year. The tubular frame and the tension fabric profile are kept, and for the next event only the new banner or fabric is printed. Order the replacement graphic in the same size as the previous one.
